Payroll & Compliance Coordinator
Location: Equipt, Inc. – Hybrid (South Ft. Myers, FL)
Work Schedule: 40 hours per week
Reports To: Director of Operations
Works With: Bookkeepers, Partner Support, Partner Churches, Contractors, Employees

Position Summary
This role ensures accurate payroll processing, legal workforce documentation, and ongoing compliance across partner ministries. Manages payroll cycles, state registrations, workers’ compensation, background checks, and clergy compliance requirements, supporting ministries with operational confidence and legal integrity.
Key Responsibilities
1) Payroll Processing
· Prepare, audit, and submit payroll
· Maintain payroll records including housing allowance
· Verify exemptions and classifications
· Coordinate payroll general ledger mapping
· Respond to payroll questions
2) Compliance & Legal Recordkeeping
· Maintain compliance files
· Help develop and upkeep policies and procedures
· Track clergy housing approvals
· Maintain I-9 and worker classification records
· Upkeep workers comp and insurance documentation
3) State & Employment Filings
· File state registrations
· Support workers’ comp audits
· Track withholding and unemployment
· Oversee legal and tax setup records
· Maintain required platforms per state
4) Contractor & Vendor Documentation
· Maintain W-9s and agreements
· Ensure contractor classification
· Support 1099 filings
· Maintain background requirements
5) Background & Abuse Prevention Files
· Plan for renewals
· Maintain Protect-My-Ministry records
· Upkeep clergy background files
· Manage ministry child safety documentation
Qualifications
· Active member of a local Gospel-centered church
· Highly organized and detail-oriented
· Comfortable with forms and systems
· Able to follow structured procedures
· Clear communicator
· Confidential and trustworthy
· Task-oriented yet able to think through processes and propose solutions
Preferred Experience
· Payroll administration
· HR documentation
· Compliance reporting
· Gusto or other payroll platforms
· Working with churches or nonprofits (preferred)
