Position Overview
Equipt is seeking a detail-oriented and trustworthy Payroll Assistant who is passionate about supporting and equipping churches, missionaries, and ministry leaders.
This role is about more than processing payroll. The Payroll Assistant comes alongside churches, missionaries, and ministry leaders to help them understand payroll processes, meet important deadlines, and establish healthy administrative practices that support their teams and ministries.
Because this position works with sensitive employee and compensation information, the ideal candidate will demonstrate a high level of accuracy, confidentiality, discretion, and dependability, while also having a heart for serving and equipping ministry leaders.

Key Responsibilities
Payroll Administration
Process regularly scheduled payroll for Equipt and assigned ministry partners
Review timesheets and payroll information for completeness and accuracy
Process approved new hires, terminations, compensation changes, deductions, reimbursements, and other payroll updates
Maintain payroll schedules, records, and supporting documentation
Identify missing information or discrepancies and coordinate resolution before payroll deadlines
Assist with year-end payroll processes and reporting as assigned
Benefits & Related Administration
Assist with HRA funding and administration as assigned
Assist with retirement contribution processing
Support benefit billing, allocations, and related documentation
Coordinate routine payroll and benefit vendor communication
Partner Support, Launches & Transitions
Respond to routine payroll questions and help partners understand established payroll processes, responsibilities, and deadlines
Provide practical guidance that equips partners to maintain healthy payroll practices
Complete assigned payroll responsibilities for new partner launches and transitions
Gather and process employee payroll information and assist with payroll-system setup
Coordinate completion of Payroll milestones with the Launch Coordinator
Audit & ECFA Support
Gather and organize governance, policy, insurance, and compliance documentation
Assist with audit, financial review, and ECFA preparation
Track and follow up on outstanding compliance-related requests

Preferred Experience
Previous payroll, accounting, bookkeeping, or HR administration experience
Experience with payroll processing systems
Familiarity with employee benefits, retirement plans, or payroll-related administration
Experience working within a nonprofit, church, or ministry environment

Work Structure
Part-time role (10–15 hours/week), Monday–Friday during standard business hours, with scheduling structured around payroll deadlines and processing requirements
Hybrid work flexibility may be available based on weekly team needs and performance, but is not guaranteed
Works closely with the Director of Operations, with regular collaboration across Operations, Finance, and Launch
Compensation decisions, approvals, exceptions, and matters requiring financial judgment remain with the Director of Operations
For candidates with the appropriate experience and availability, this position may have the opportunity to be combined with another Equipt support role to create a full-time position
