Position Overview
The Operations & Compliance Assistant serves as a key member of the Operations Team, supporting the day-to-day operational functions of Equipt while helping ensure both Equipt and its ministry partners remain organized, compliant, and equipped for effective ministry.
As the Operations Assistant, this position supports the Operations Coordinator in carrying out a broad range of operational responsibilities, including ministry partner support, organizational systems, administrative processes, donor and partner communications, meetings, hospitality, financial operations, special projects, and other operational initiatives that strengthen Equipt's ministry partnerships.
As the Compliance Assistant, this position supports organizational compliance by coordinating regulatory filings, maintaining employment and corporate records, monitoring compliance requirements, and assisting with compliance processes that support Equipt and its ministry partners.

Key Responsibilities
Operations Support
Assist the Operations Team in carrying out the daily operational functions of Equipt
Manage the general support inbox, phone communications, and operational inquiries, ensuring requests are routed and resolved appropriately
Provide operational assistance, training, and guidance to ministry partners as needed
Assist with partner onboarding while maintaining ministry partner records, documentation, and operational systems
Assist with the implementation, documentation, and continuous improvement of operational systems and processes
Coordinate meetings, hospitality, training events, cohorts, conferences, and partner engagement initiatives
Support operational processes and ministry systems, including offerings, Ramp administration, and other operational platforms as assigned
Collaborate with Operations, Accounting, Compliance, and Launch to ensure seamless organizational support
Assist with operational projects, process improvements, and other duties as assigned
Organizational Compliance
Maintain compliance files, legal entity records, compliance platforms, and reporting systems for Equipt and its ministry partners
Monitor filing deadlines and prepare required registrations, annual reports, charitable solicitation filings, and renewals
Coordinate ministry entity registrations and regulatory filings
Assist with audits and maintain compliance documentation in accordance with Equipt's document retention policies
Ministry & Vendor Compliance
Maintain insurance, contractor, and employment compliance records, including workers' compensation, insurance documentation, contractor agreements, W-9s, and annual 1099 documentation
Coordinate background checks, clergy documentation, and child protection compliance
Maintain ministry safety documentation and coordinate event liability documentation, releases, and certificates of insurance (COIs)
Compliance Administration
Maintain compliance calendars, tracking systems, correspondence, and reports
Coordinate documentation requests with ministry partners and communicate with regulatory agencies as directed
Support special compliance projects and perform other duties as assigned
Qualifications
Required
Active member of a local gospel-centered church
High school diploma required; Associate's or Bachelor's degree preferred
Demonstrates a heart for ministry and a desire to serve churches, ministries, missionaries, and church planters
Excellent customer service, interpersonal, and communication skills, with the ability to effectively train, equip, and support ministry partners
Strong organizational, administrative, and problem-solving skills with exceptional attention to detail
Demonstrates initiative, adaptability, dependability, and the ability to manage multiple priorities while working both independently and collaboratively
Demonstrates professionalism, humility, and a positive attitude in interactions with ministry partners, volunteers, and team members
Sound judgment with the ability to maintain confidentiality and handle sensitive information with discretion
Comfortable learning and working within regulations, documentation, and technology-driven systems
Proficient in Microsoft Office, Google Workspace, and technology-driven systems
Preferred Qualifications
Experience in church, ministry, or nonprofit administration
Experience in customer service, partner relations, or administrative support
Experience with compliance, regulatory reporting, or corporate recordkeeping
Experience with employment documentation or human resources administration
Experience with multiple software platforms and operational systems
